Deposit & Cancellation Policy

At Flow the Collection, we work with clear deposit and cancellation terms. The terms that apply depend on the type of reservation.

Individual bookings

For bookings made directly through our website or with the hotel, we require a deposit. This deposit is refundable up to 72 hours before arrival; if you cancel within this period, the amount will be refunded within 5 business days. Within 72 hours of arrival, the deposit is no longer refundable — we recommend guests take out travel insurance that covers cancellation. If you booked through another platform, that platform's terms apply.

Weddings, celebrations & private events

Thank you for placing your trust in Flow the Collection. We look forward to hosting your special day or gathering. For private events — such as weddings, anniversaries, birthdays and other private celebrations — the following deposit and cancellation terms apply.

Deposit

For weddings and parties of 50 guests or more, we require a deposit of 20% of the total reservation value upon confirmation. This deposit is non-refundable. If the event takes place within 30 days of booking, full payment is required in advance. You will receive a payment link after confirmation.

Balance payment

The remaining balance is due no later than 30 days before the event. You will receive a payment link approximately 5 weeks in advance.

Cancellations

We understand that plans can sometimes change. The following cancellation terms apply:

• Up to 3 months before the event: the deposit will not be refunded.
• Between 3 months and 1 month before the event: 50% of the total amount is due.
• Between 1 month and 7 days before the event: 75% of the total amount is due.
• Within 7 days of the event: 100% of the total amount is due.

Changes to guest numbers

Up to 7 days before the event, you can adjust the guest count free of charge, with a maximum variance of 10%. After this period, we will charge for the previously agreed number of guests.

Force majeure

Should your event be unable to proceed due to circumstances beyond anyone's control — such as government measures, extreme weather or other unforeseen situations — we will gladly work with you to find a suitable solution or a new date.

General terms & conditions

All agreements with Flow the Collection are also subject to the Uniform Conditions for the Hotel and Catering Industry (UVH), issued by Koninklijke Horeca Nederland. View the UVH in Dutch or English. In case of discrepancies between versions, the Dutch text prevails.
